Permissions & sharing

Everyone sees what they should. Nobody sees what they shouldn’t.

Set who can view, contribute to, edit or manage each board, then go further: hide a cost field from one group, make it view-only for another. Outside partners take part through a link that lets them view, vote & comment — and nothing else.

The problem

One sensitive field, and the data splits in two.

  • Cost & margin live somewhere else.

The tool can’t hide them from the whole team, so they move to a private spreadsheet that drifts out of date.

  • Sharing with a partner means sharing everything.

Or emailing them screenshots, and pasting their replies back in by hand.

  • Nobody knows who changed access.

Permissions pile up over the years, with no record of who granted what.

The solution

Access by board, by role, by field.

  • Board roles

Viewer, Contributor, Editor or Manager — per person or per group, on every board.

  • Presets with exceptions

Make a board open, read-only or private in one click, then add exceptions for the people & groups who need them.

  • Field-level access

Hide a field, or make it view-only, for a person or a group. Enforced in the database, not just on screen.

  • Guests

Invite outside people into the workspace as guests. They see only what’s shared with them explicitly.

  • Share links

Share a board by link so anybody with it can view, vote & comment. Switch each one on or off, and revoke the link any time.

  • An access log

Every permission change is recorded, per board & across the workspace, so you can see who granted what, and when.

Questions

Common questions.

Can we hide cost & margin fields from some people?

Yes. Any field can be hidden or made view-only for a person or a group, so cost and margin can sit on the same card as everything else and still only be seen by the people who should.

Can suppliers or customers take part?

Yes, two ways. Add them as guests who see only what you share with them, or share a board by link so they can view, vote & comment without being able to change anything.

Are permissions enforced on the server?

Yes. Board and field permissions are enforced in the database. Field history is filtered the same way, and Ask Launchglass answers only from what the person asking is allowed to see.
